What you’ll do?
As a Bid Coordinator, you will manage and coordinate the end-to-end bid process, supporting the preparation and submission of high-quality tenders, proposals and expressions of interest that align with client requirements and Compnow’s objectives. You’ll work closely with subject matter experts, business development teams and other internal stakeholders to gather information, coordinate input and approvals, manage timelines and maintain document version control.
With a strong focus on quality and attention to detail, you’ll help ensure every submission is accurate, compliant, compelling and delivered on time, while also contributing to improvements across our templates, content library and overall bid process.

Coordinate the end-to-end bid and tender process, ensuring submissions are accurate, compliant and delivered on time.
- Manage bid schedules, timelines, milestones and deliverables across multiple opportunities.
- Work with internal stakeholders and subject matter experts to gather content, input and approvals.
- Assist with drafting, proofreading, editing and formatting tenders, proposals and expressions of interest.
- Review tender documentation and ensure submissions address client requirements, evaluation criteria and internal governance standards.
- Coordinate internal reviews and approvals, ensuring feedback is incorporated into final submissions.
- Maintain effective document and version control throughout the bid lifecycle.
- Monitor tender portals and alert relevant teams to new opportunities.
- Maintain accurate records of bid activities, submissions and outcomes.
- Support bid/no-bid decisions by compiling opportunity summaries and risk assessments.
- Maintain and improve content libraries, templates and standard response materials.
- Assist with post-submission activities, including clarifications, presentations and debriefs.
- Identify opportunities to improve the quality, consistency and efficiency of the bid process.
- Maintain consistent branding, formatting and presentation across tender documentation.
What you’ll bring?

Experience in sales coordination, project coordination, administration or a similar stakeholder-focused role. Bid coordination, tender, proposal or expression-of-interest experience is highly desirable, but not essential.
- Confidence working cross-functionally and coordinating input, actions and approvals across multiple teams.
- The ability to lead and facilitate meetings, encourage meaningful conversations and keep everyone focused and on task.
- Strong organisational and time-management skills, with the ability to manage deadlines and competing priorities.
- A proactive approach to following up actions, gathering information and keeping work progressing.
- Clear written and verbal communication skills, with strong proofreading and document-formatting capability.
- Excellent attention to detail and a commitment to producing accurate, high-quality work.
- Confidence using the Microsoft Office suite (Outlook, Excel, Word, etc).
- A collaborative and adaptable mindset, with a genuine interest in developing a career in bids and tenders.

- Travel on-site to our office in Notting Hill.
- Must be an Australian resident available to work full time without restrictions.
